Full Description:
Office Administrator will provide direct support to the owners of Jeff's Outdoor Services and staff to help manage the day to day operations of the office. We are currently looking for someone who is self-motivated, has impeccable verbal and written communication skills, has great multi-tasking skills and has a friendly demeanor to join our small-town lawn, snow removal and landscape business.

Essential Duties

  • Serve as the primary receptionist (answering and directing incoming calls and greetings)
  • Planning and scheduling of meetings & appointments
  • Data entry, monthly invoicing and organization of schedules/routes
  • Maintain & update calendars
  • Inventory tracking of both office supplies and truck/equipment documentation
  • Track all data and create new tracking to include lead generation, SPH reports and mailing list(s)
  • Provide direct administrative support to owners, foreman and field crews on a day to day basis
  • Preparing, organizing and providing job folders for foreman and field crews
  • Working knowledge of Quick Books accounting software for the purposes of helping with invoicing, estimating, generating reports and/or tracking of information and inventory
  • Willing to gain working knowledge of all tasks performed by Jeff's Outdoor Services
  • Entering, reviewing and making changes to company, or employee data into various computer software programs
  • Provide written communications to customers and vendors
  • Assist with collections on past due accounts
  • Assist with public presentation and/or public relations & marketing
  • Keep office organized and assist in filing of paperwork.
  • Running errands and performing miscellaneous job-related duties as needed
 
Qualifications
•       3-5 years relevant experience
•       Demonstrated proficiency in MS Word and MS Excel
•       Demonstrated proficiency in Quick Books accounting software
•       Excellent customer relations and telephone etiquette
•       Associates degree or Bachelors degree a plus
•       Ability to pass a background check
 
Pay based on qualifications and experience.
